Budgeting AI per student: what schools should plan for
What comparable school AI tools cost, what drives model usage, why caching saves less than claimed, and how to keep a heavy week from spending a term's budget.

What you are paying for
A school AI budget has more lines than the license. Plan for the platform, the model usage behind it, teacher time for training and review, and the filter and monitoring tools you already pay for. Some products bundle model usage into the license; others bill it separately. Ask which, in writing.

Put it next to the whole technology budget
The median NAIS school spent $527 per student on technology. Comparing an AI line with that figure shows whether it replaces something or adds to the total, which is the conversation most budgets need.
What drives model usage
- How often students ask. ChatGPT averages about 26 messages a week per weekly user; in a two-year school trial, the median student messaged an AI tutor on a third of practice days.
- How long replies are, and reasoning. Reasoning tokens are billed as output, and output is never cached.
- Comparing models. Asking two or three models multiplies the cost of that question.
- Long readings and files. Every turn resends the conversation, so long contexts add up.
- Caching. Prompt caching cuts the total bill, but in our own cost model by 27-40%, not 90%, because output is never cached.
Use spending limits
Set limits before students start, not after the bill. In Nexus, daily spending limits apply per school and per student, and budget is reserved before every model call. Size the daily ceiling to the contract, so a heavy week cannot spend a term's budget. See pricing and the cost calculator.
Questions to ask any vendor
- Is the price per enrolled student, per active student or per user, and who counts as active?
- Is model usage included, capped or billed separately? To whom?
- Who holds the AI provider account?
- What happens when a student or the school hits a limit?
- What does a pilot cost, and what does continuation cost?
Timing
Budgets for the next school year usually close in spring. In Maryland, each county board submits its budget at least 45 days before local taxes are levied. Time a pilot so its readout arrives before your budget closes.

Questions and answers
How much does school AI cost per student?
Published prices vary widely: Khanmigo lists $15 per student for districts, Flint lists $3,000 a year for up to 150 users, and Gemini for Education and Copilot Chat come at no extra cost with school suites (as of Oct 2026).
Does prompt caching make AI cheap?
It helps, but less than often claimed. In our cost model caching cut the total bill 27-40%, not 90%, because model output is never cached.
How do schools control AI costs?
Set daily spending limits per school and per student, size them to the contract, and ask vendors what happens when a limit is reached.
What do schools spend on technology overall?
The median NAIS school spent $527 per student on technology (NAIS Facts at a Glance 2025-26).
