Parent letter about AI use at school (template)
A plain-language letter for families: which AI tool students will use, how class rules work, what teachers can see, how data is protected and whom to contact.
How to use this template
Copy the text into your own document and replace everything in [brackets]. The template works with any AI tool; optional lines for schools using Nexus are marked. Send it through the school, before students start, and keep the reading level plain.

How [School] is using AI for schoolwork this [term/year]
Letter
Dear families,
Many students already use AI for schoolwork, often on their own phones, where teachers cannot see the work and class rules do not apply. This [term], [School] is giving students in [classes or grades] an approved AI tool, [Tool], so they can get help with schoolwork under our rules.
How it works. In each class, the teacher decides how much help the AI gives: hints, step-by-step guidance, or a full answer with feedback on the student's own attempt. Students cannot change their class's setting. Our goal is for students to keep doing the thinking, with help at the point they get stuck.
What teachers can see. [Describe: for example, "Teachers can review the AI chats in the classes they teach, and students are told when a chat can be reviewed."] [School]'s device monitoring software, which works outside [Tool], may record what students type on school devices.
Your child's data. Our agreement with [Vendor] says the school owns student data and bars sale of student data, advertising and training AI models on it. [Add how long data is kept and how to ask for it to be deleted.]
Safety. [Tool] is a study assistant, not a counselor. If a message suggests a student may be in danger, [describe who is told and how]. If your child is in danger, call 911. If they are thinking about hurting themselves, call or text 988.
Your choices. If you have questions, or would prefer an alternative for your child, contact [name, role, email]. [If the tool requires a parent's or guardian's consent for certain AI models, explain how to give it.]
Talking at home. A good question is not "Do you use AI?" but "What did you ask it, and what did you do yourself?"
Thank you,
[Name, role]
Optional lines for schools using Nexus
- Nexus is for students 13 and older.
- Teachers can review class chats, and students are told when a chat can be reviewed. Nexus records who opened each class chat.
- Personal chats are not shown to teachers. The exceptions are a legal requirement and a parent's request to see records where the law gives parents that right.
- Nexus does not sell student data, show ads or train AI models on it.

Questions and answers
Should schools tell parents about AI use?
Yes. A short letter before students start builds trust: what tool, which classes, what teachers can see, what happens to data and who to contact.
What should a parent letter about AI include?
Why the school is introducing AI, how class rules work, what teachers can see, how data is protected, the safety route, families' choices and a contact.
Can parents opt their child out of AI?
Many schools offer a non-AI alternative. Say in the letter whom to contact.
